Who we are
Ballboards operates an outdoor-advertising marketplace and services used by advertisers, venue partners, and Ballboards team members. References to “Ballboards,” “we,” “our,” or “us” mean Ballboards LLC.
Information we collect
Depending on the services you use, we may collect:
- Account and identity data: name, email address, phone number, user ID, login identifier, and encrypted or hashed authentication credentials.
- Business and venue data: company or venue name, contact details, address, venue map and placement coordinates, team memberships, and board inventory.
- Service records: orders, contracts, installation and removal activity, support communications, proof-of-placement photos, and audit history.
- Financial data: payment, payout, tax, billing, and accounting information needed to process transactions and maintain required records.
- Technical data: IP address, device or browser information, security logs, update requests, app version, randomized installation identifiers, push-notification tokens and delivery status, device time zone, and service usage events.
Ballboards mobile app
The venue app uses the following information to provide its field-installation workflow:
Name, email, and user ID
Linked to the account so we can authenticate you, identify the venue team member, send password-reset or account messages, and secure access.
Camera and photo library
Accessed only after you choose to take or select a proof photo. The selected photo is uploaded, linked to the relevant venue placement or contract item, and stored through Cloudinary. We do not access unselected photos.
Precise or approximate location
Optional and used while the app is open to show your position relative to mapped boards. Ballboards does not request background location. Device location is not intended to be stored in the Ballboards account, although Apple or Google may process network and device information when providing map imagery.
Maps and device data
The iOS app uses Apple MapKit and the Android app uses Google Maps Platform for satellite maps. The app also uses Expo and EAS Update to deliver compatible software updates; update checks may include an IP address, app/runtime version, platform information, and a randomized installation identifier.
Work notifications and icon badges
If you enable notifications, the app links an Expo push token and device time zone to your authorized venue access. We use them to group newly ready installation work, remind the venue about overdue installations, keep the app-icon work count current, and remove invalid devices. Removal work can change the icon badge but does not by itself generate an alert.
Mobile permissions can be changed at any time in iOS or Android Settings. Disabling notifications stops push alerts and may prevent the operating system from displaying an up-to-date app-icon badge while the app is closed. Disabling camera, photo, or location access may limit the specific feature that needs it, but those permissions are not required to sign in or view venue work.
How we use information
- Provide, operate, secure, maintain, and improve the Ballboards services.
- Authenticate accounts and administer venue team access.
- Coordinate board inventory, installations, removals, proof of placement, orders, and customer support.
- Process payments and payouts and maintain accounting, tax, contract, and audit records.
- Send password resets, invitations, grouped installation alerts, overdue-work reminders, transactional notices, service updates, and requested communications.
- Detect abuse, prevent fraud, troubleshoot failures, enforce agreements, and comply with law.
Service providers and disclosures
We disclose information only as reasonably needed to operate the services, complete a requested transaction, protect the platform, or meet legal obligations. Providers may include:
- Cloudinary for image upload, processing, and storage, including proof-of-placement photos.
- Apple MapKit and Google Maps Platform for map imagery and map functionality.
- Expo, EAS Update, and Expo Push Service for mobile build infrastructure, compatible over-the-air app updates, and optional venue work notifications.
- Mailgun for venue invitations, password resets, deletion confirmations, and other transactional email.
- Stripe and QuickBooks Online for payment, payout, billing, and accounting services where applicable.
- Hosting, database, security, and infrastructure providers that process encrypted service traffic and application data on our behalf.
These providers process data under their own terms and privacy policies. We may also disclose information in response to valid legal process, to protect rights or safety, or as part of a business transaction subject to appropriate safeguards. We do not sell mobile-app location or proof photos, and the Ballboards app does not use cross-app advertising tracking.
Website cookies, analytics, and advertising
Our website may use cookies, pixels, and similar technologies for authentication, preferences, analytics, security, advertising measurement, and marketing. Website vendors may associate browsing activity with information they or others hold, including an email address, as permitted by law and their settings. This website activity is separate from the Ballboards mobile app, which does not display third-party ads or request App Tracking Transparency permission.
You may opt out of Retention.com advertising association at app.retention.com/optout. Browser and device settings may provide additional cookie, advertising, or privacy controls.
Data retention and deletion
We retain account data while an account is active and for the period reasonably necessary to provide services, secure the platform, resolve disputes, enforce agreements, and meet legal, tax, accounting, fraud-prevention, and audit obligations. A verified account-deletion request is generally reviewed within 30 days.
Venue team access and active mobile sessions can be removed promptly. Contracts, agreements, invoices, payouts, tax and accounting records, proof-of-placement photos, installation history, and related audit records may be retained for the life of the business relationship and applicable legal or limitation periods. Data in encrypted backups is removed through normal secure rotation. When deletion is not permitted or practical, we restrict or anonymize personal information where appropriate.

Your choices and rights
Depending on where you live, you may have rights to request access, correction, portability, restriction, objection, or deletion of personal information, or to withdraw consent. We may need to verify your identity and may retain information where an exception applies. You may also change mobile permissions in device settings and unsubscribe from eligible email using the link in the message.
Security
We use administrative, technical, and organizational safeguards designed to protect information, including encrypted network transport, scoped authentication, access controls, and service monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
Ballboards services are for businesses and authorized business users and are not directed to children under 13. We do not knowingly collect personal information from children through the Ballboards app.
Changes to this policy
We may update this policy as our services or legal obligations change. We will post the revised policy and update the date above. We will provide additional notice when required for a material change.
